End of season presentation night checklist

Start early

End of season is our busiest time, and trophies usually need up to two weeks lead time during the peak. The earlier you order, the less stress for everyone, especially if your club has many grades or a long list of names.

Your countdown

8 weeks to go: decide the awards

• List every award you want to give, by grade and by type, such as best and fairest, most improved and coach's award.
• Decide which awards will be trophies and which will be medals.
• Set a budget, and note which awards are perpetual trophies.

6 weeks to go: choose and quote

• Browse our catalogues or visit the store to see the range.
• Send us your list and the number of awards, and ask for a quote.
• Confirm the presentation date and tell us when you need the awards ready.

4 weeks to go: confirm the order

• Approve the quote and place your order.
• Send any club logos or sponsor logos you want on the awards.
• Send perpetual trophies in for new plates.

3 weeks to go: send the names

• Check the final names, grades and wording against your official records.
• Send one list for the whole club, with one row per award.
• Confirm spelling of the names, especially the unusual ones.

1 week to go: collect and check

• Collect your awards from the store, or confirm delivery.
• Check each award against your list before the night.
• Keep a spare medal or two for any late changes.

On the night

• Arrange awards in presentation order, with the major awards last.
• Give the presenter a printed list with the names spelled the way they are engraved.

Common mistakes to avoid

• Leaving the order until the final weeks of the season.
• Sending names in several emails instead of one list.
• Forgetting to send perpetual trophies for new plates.
• Ordering exactly the right number, with nothing spare for late changes.
